Your saved work and files
The company owner can give Winston one permission to use all the company’s saved work and uploaded files across Crown Partners, including confidential tender documents and future uploads. Winston retrieves the relevant information to answer a question or prepare work, whichever page you are on. Files must pass security checks before they can be read. Company information is kept separate from other customers. You can switch off this access in Winston settings; this stops further use and pending work that depends on it, without deleting your saved records. An earlier permission limited to company records does not automatically grant this expanded file access.
Assistance, not decision-making
AI helps explain questions, compare opportunities, organise information and suggest draft wording. With your permission at checkout, it can also prepare an in-depth report from your saved assessment answers and supporting guidance. Crown Partners calculates readiness using consistent rules. AI cannot independently verify evidence, confirm tender eligibility, declare compliance, submit a bid or calculate a probability of winning.
Sources and uncertainty
Factual procurement guidance links to an approved source or clearly says what remains uncertain. Review the linked source and the tender documents before acting, because they remain authoritative.
Human control
Assistant suggestions never change company answers, evidence states or commitments automatically. You must review and confirm a suggestion before it becomes part of the company record.
Sensitive material
Do not provide classified material, passwords, buyer-portal credentials or personal data you are not authorised to process. Use the owner’s access controls and respect restrictions on confidential buyer material before making it available to the assistant.
Provider processing
OpenAI provides AI processing. Its API policy states that business data is not used for training by default unless the customer opts in. Standard security and abuse-monitoring retention may apply; Crown Partners does not promise zero retention or UK-only AI processing. The Privacy Notice and Subprocessors and International Transfers page explain the information used, locations and provider terms. Requesting an AI feature is an instruction to deliver that service, not blanket consent to unrelated use of personal information.
