Bid workspace allowances
Every subscription, including the Platinum Partner launch offer, includes up to 5 active bids and processing for up to 10 different bids per company per calendar month. These allowances are shared by all named users. A bid uses a monthly place when you first request Winston analysis, explanations or drafting for that Bid Workspace in that month, including work accepted for background processing. Further work, lot selections and retries on the same bid in the same month do not use additional places. Requests that fail after processing has been accepted still use that bid’s place; you can retry within the same month without using another place. The allowance resets on the first day of each calendar month at midnight UK time (Europe/London). Unused places do not roll over.
Archiving a bid frees an active place and keeps its saved work available to read and download. It does not restore a monthly processing place. Once the monthly limit is reached, you can continue working on bids already counted that month and read your saved work; processing a different bid becomes available when the allowance resets. No automatic overage charge applies. Do not reuse one Bid Workspace for unrelated tenders to bypass these allowances.
Who these terms cover
Crown Technology Limited provides the Crown Partners 360 platform. We are a private limited company registered in England and Wales, company number 17393089, with registered office at 9 Redwood Gardens, Thornton-Cleveleys, England, FY5 5NT. Contact enquiries@crownpartners.co.uk for service or contractual enquiries. “We” means Crown Technology Limited; “you” means the business customer using the service.
The service is for business use only, including sole traders, and is not offered for personal consumer use. These terms apply to free accounts, paid subscriptions, individual report purchases and authorised users. A person opening an account or purchasing on behalf of an organisation confirms that they have authority to bind it. Invited users must be authorised by that organisation and comply with these terms. The business is responsible for its users’ use of its account.
The Data Processing Addendum linked below forms part of these terms whenever we process personal data on your behalf. It takes priority for that processing if there is a conflict. The Privacy Notice explains our use of personal data; acknowledging it is not blanket consent to processing. A separately signed agreement takes priority where it expressly varies these terms.
What the service provides
Crown Partners helps businesses find public-sector opportunities, assess preparation, organise evidence and produce working documents. Plan features and limits are shown before purchase. You decide whether to pursue an opportunity and approve everything you submit. Notices and source material may be corrected, withdrawn or incomplete; check the buyer’s current documents and deadlines.
The service does not guarantee eligibility, framework admission, accreditation, compliance, a contract award or a successful bid. Assessments, suggestions and generated documents are preparation aids, not independent certification or legal, financial or procurement assurance. Readiness is calculated using platform rules, not decided by AI. Specialist advice may be needed for a particular procurement.
Plans, fees and taxes
Premium is £349 plus VAT per month for one named user. Platinum is £749 plus VAT per month for up to five named users. Platinum Partner is £1,249 plus VAT per month for unlimited named users, with consultancy support made available to you on request, subject to scheduling availability. A limited launch offer gives eligible companies the same Platinum Partner access for one payment of £249 plus VAT covering the first 90 days. From day 91, it changes automatically to the regular Platinum Partner price of £1,249 plus VAT per month unless cancelled before renewal. The first 100 companies whose launch payments succeed can use the offer, once per company; a refunded signup still counts. An unfinished checkout does not secure a paid place permanently. Each named user must have their own account. The in-depth gap analysis report is a separate £199 plus VAT one-off purchase and does not renew. The checkout identifies what you are buying, applicable VAT and the amount payable.
Pay fees when due using the supported payment method. We may retry a failed payment and contact the account owner to resolve it. We may suspend paid features while payment remains outstanding; we are not obliged to supply unpaid services. There is no automatic overage billing. Additional paid services require a separate purchase or agreement.
Subscription, renewal and cancellation
Standard subscriptions renew monthly until cancelled. The launch offer covers a 90-day first period and then changes to the regular monthly Platinum Partner price stated at checkout. Cancel before the next renewal through account billing; access continues until the end of the paid period. Cancellation does not itself delete the company account. Except for a remedy expressly provided in these terms or required by law, unused time in a billing period is not refunded.
Plan changes during the 90-day launch period are unavailable; you can cancel at any time. After it changes to the regular monthly plan, upgrades are charged on a prorated basis and take effect only after payment succeeds. Downgrades take effect at renewal. We will notify the account owner of a price increase or material reduction in plan inclusions at least 30 days before it applies, with the opportunity to cancel before paying the changed amount. The launch offer transition to the price agreed at checkout is not an unannounced price increase. A change will not retrospectively alter an already-paid period.
Report purchase and any offered credit
One purchase creates one report from the complete assessment answers frozen at checkout. Changing those answers later requires a separate purchase for a new report. You may download and use the purchased report for your business, subject to the output rights below. It remains a preparation document and must not be presented as independent certification or verified evidence.
If a technical fault prevents generation or makes the purchased report unusable, contact us. We will correct or reissue it without another charge; if we cannot remedy the fault within a reasonable time, we will refund that purchase. This does not cover a request to change the frozen answers or dissatisfaction with an accurately reported preparation gap.
A report purchase includes subscription credit only where expressly offered before purchase. Where offered, an eligible fully paid, unrefunded report reduces the same company’s first subscription month by £199 excluding VAT, once per company. On the launch offer, this credit applies to the first regular £1,249 monthly renewal after the 90-day period, not to the £249 launch payment. If you cancel before that renewal, the unused credit remains available for a later eligible subscription. A partial refund reduces the credit to the amount retained excluding VAT. Credit has no expiry and is shown before the subscription purchase. It is not cash, transferable to another business, available on upgrades or available on restarting a subscription after a regular monthly payment. “Company” here means the same legal entity, identified by its company registration number where available, or the same sole-trader business. Additional accounts, domains or email addresses do not create a second entitlement.
Accounts and named users
Each named user must use their own account. Do not share credentials or exceed the purchased user allowance. The company owner controls billing, invitations, company exports, account deletion and company-wide Winston access. Members may work in the shared workspace but cannot change those owner controls.
Keep account details accurate, protect passwords and recovery codes, use multi-factor authentication when required and remove access when a user leaves. Tell us promptly about suspected unauthorised access. We may verify authority before changing ownership or releasing account data.
Platinum Partner consultancy support
Platinum Partner includes consultancy support made available to you on request about contract finding or the bid process, subject to scheduling availability. This support is arranged through requested meetings. Any active named user may request a meeting. Each meeting gives direct access to at least one former-government procurement specialist; this is not government endorsement.
We will arrange meeting details with you. You may cancel a requested or confirmed meeting and request another. If we cancel or cannot deliver a meeting, we will help arrange a new time. Meetings do not include unlimited drafting, tender submission, written follow-up or legal advice unless separately agreed. They do not guarantee procurement outcomes.
Your content and confidentiality
You retain your rights in material you provide, including tender documents, pricing, policies, evidence and business information (“Customer Content”). You grant us only the rights needed to host, copy, process, transmit and display it to provide, secure and support the requested service and fulfil lawful instructions. You must have the rights and lawful basis needed to provide it. Buyer confidentiality and third-party restrictions still apply.
Each party must protect the other’s confidential information with reasonable care, use it only to perform or exercise rights under this agreement, and disclose it only to people and suppliers who need it and are bound by confidentiality duties. This includes your non-public Customer Content and our non-public software and methods. These duties continue after the agreement ends while the information remains confidential.
The duties do not cover information lawfully public, already known without restriction, independently developed, or lawfully received from another source. Legally required disclosure is permitted; give advance notice where lawful and disclose only what is required.
AI assistance and Winston
Winston is the platform’s AI assistant. AI may assist with explanations, opportunity comparisons, analysis and drafts. Depending on the feature and your permissions, relevant Customer Content is processed by the AI provider identified on our Subprocessors and International Transfers page. The AI Transparency Notice explains the available controls.
AI output can be incomplete, inaccurate or similar to other users’ output. You must review it against your circumstances and source documents before relying on or submitting it. It cannot independently verify evidence or make final readiness, eligibility or compliance decisions. We do not promise exclusive intellectual-property rights in machine-generated text. Provider data-use and retention information is explained in the Privacy Notice and supporting supplier page; this service is not represented as a zero-retention AI service.
Ownership and permitted use of outputs
You may use, adapt, download and share company-specific outputs for your own business purposes, including procurement, tender and framework submissions, accreditation applications, and sharing with your advisers, customers and buyers. This permission continues for lawfully obtained outputs after your subscription ends. Check third-party rights and procurement restrictions before sharing. Do not misrepresent a draft as certification, verified evidence or an endorsement by Crown Partners or a public authority.
Crown Partners retains ownership of its platform, software, templates, methods, generic guidance and pre-existing intellectual property. Where these are included in an output, you receive a non-exclusive licence to use them as part of that output for the permitted business purposes. This does not permit reselling our standalone templates, reproducing the service or licensing access to others.
Acceptable use
Do not upload classified information, passwords, buyer-portal credentials, malicious files, unlawful material or personal data you do not need or have authority to process. Do not breach another party’s confidentiality or intellectual-property rights.
Do not attack or disrupt the service, bypass access controls or user limits, scrape or perform unauthorised automated extraction, reverse engineer the software except where law prevents restriction, resell access, or use the service or its protected content to build or train a competing service. Normal downloads and exports provided by the platform, and the permitted business use of your outputs, are allowed.
Service care and changes
We will provide the service with reasonable care and skill. Maintenance, faults and third-party interruptions can affect availability; no uninterrupted availability or particular service level is promised unless separately agreed. We will take reasonable steps to restore affected service and communicate material disruption.
We may improve and replace features, but will not materially reduce the core functionality of your purchased plan during an already-paid period except where required by law, necessary for security, or caused by circumstances outside our reasonable control. Where such a change materially prevents the purchased use and we cannot provide a reasonable alternative, you may end the affected service and receive a proportionate refund of unused prepaid fees.
Suspension and termination
You may cancel a subscription through billing and request account deletion through the owner’s account controls. We may terminate for a material breach that is not remedied within 14 days of written notice identifying the breach. We may suspend or terminate immediately where necessary to address unlawful use, a serious security risk, fraud or a breach that cannot be remedied. Any restriction will be proportionate to the reason. We will explain it where lawful and practical.
We may end the service for business reasons on at least 30 days’ notice and refund unused prepaid fees for the period after it ends. Accrued payment obligations remain payable. Suspension does not remove your statutory data rights.
When paid access ends, new paid activity stops. The normal read-only wind-down period is 90 days, with owner export and deletion routes, subject to necessary security or legal restrictions. Export needed material promptly; contact us if a restriction prevents an authorised export. Account deletion has a seven-day cancellation window and follows the Data Retention Schedule. Cancellation of a subscription alone does not request deletion. The Data Processing Addendum governs return or deletion of personal data processed on your behalf.
Liability
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Nothing limits an individual’s statutory data-protection rights or a regulator’s powers.
Subject to those exceptions, we are not liable for indirect or consequential loss, or loss of profit, revenue, business, business opportunity or goodwill arising from use of the service. We do not accept responsibility for a buyer’s decisions or for inaccurate information supplied by you or a third-party source, except to the extent caused by our failure to exercise reasonable care and skill.
Subject to the same exceptions, our total aggregate liability arising out of or in connection with this agreement, whether in contract, tort (including negligence), breach of statutory duty or otherwise, is limited to the greater of £1,000 and the fees you paid us in the 12 months immediately before the first event giving rise to the claim. Related events count as one event. This cap also applies to the Data Processing Addendum as between the parties, to the extent permitted by law. Agreed refunds and the obligation to provide them are not reduced by this cap. These provisions allocate risk in light of the service’s price and purpose; they apply only to the extent lawful and reasonable.
Notices, disputes and general terms
Send contractual notices to enquiries@crownpartners.co.uk. We will send account notices to the owner’s registered email or through the account where appropriate. Keep that email current. We will identify material terms changes and their effective date before they apply, requesting fresh acceptance where required. A notice or acknowledgement is not consent to unrelated personal-data use.
These terms and any expressly incorporated agreement are the agreement for the service. Neither party relies on statements outside them, without excluding fraud or liability that cannot lawfully be excluded. If a provision is unenforceable, the remaining provisions continue. A delay in enforcing a right does not waive it. A person who is not a party has no contractual enforcement right under the Contracts (Rights of Third Parties) Act 1999; this does not affect data subjects’ statutory rights.
The laws of England and Wales govern this agreement and the courts of England and Wales have exclusive jurisdiction. Please contact us first so we can try to resolve a complaint promptly.
